Operations Coordinator

The Project Management Institute of New Zealand (PMINZ) is seeking a highly organized and experienced Operations Coordinator to support our national operations. The successful candidate will have experience in administration, IT support, member support, document control, accounting administration, and strategic and business management skills.

Key Responsibilities: 

  • Administer access to chapter information systems for all volunteers and staff. 
  • Oversee and monitor volunteer database. 
  • Assist with day-to-day operations. 
  • Maintain and update operational procedures and policies. 
  • Oversee administrative support for chapter technologies. 
  • Coordinate with relevant volunteers to arrange access, support, and user training. 
  • Provide excellent service to branches and members, responding promptly to member and potential member queries. 
  • Support webinars and similar events, ensuring that they run smoothly and without technical difficulties. 
  • Process accounts payable and accounts receivable transactions. 
  • Manage and maintain all organizational documents and records. 
  • Support Strategic Planning Process and Execution.

Requirements:

  • Moderate years of relevant experience in operations coordination. 
  • Proficiency in Office 365, Mailchimp, Social media platforms, Website management, and Microsoft Suite. 
  • Excellent communication and interpersonal skills. 
  • Strong problem-solving and analytical skills. 
  • Ability to manage budgets and resources effectively. 
  • A clear communication style, be a multi-tasker, calm under pressure, team player, and able to follow instruction. 
  • A basic understanding of financial regulations and standards.

The ideal candidate will have a clear communication style, be a multi-tasker, calm under pressure, team player, and able to follow instruction. 

You will work closely with the Commercial Manager, PMINZ Board, and on occasion with senior executive volunteers. The successful candidate will be responsible for preparing regular reports to communicate operational metrics and progress to senior management and other stakeholders.
